CHAPTER 5 - POST EVENT INSTRUCTIONS

About 15 minutes prior to the end of your demonstration, start putting away your supplies and appliances.

Count ending inventory. Take inventory both on the selling floor and in the backroom. Record the amount of samples used. Record the number of customers you have sampled. Record the number of coupons you have remaining. Write any customer comments. Record how the demonstration went. Make sure you have completed all your paperwork and have all your receipts.

Always secure store management signatures and store stamp before leaving the store.

If instructed by agency, leave all leftover sampling products with store manager, or discard at the store. Do NOT remove samples from the store.

Payment Method for Sampling Product:

How you purchase the products at each of the retailers may differ. Listed below are methods that manufacturers, retailers, or marketing companies have utilized in the past:

  • Advance checks provided by your local event marketing company are sent to you prior to the event date.

  • Debit card that has a certain amount of dollars downloaded onto the card can be used for purchasing sampling product.

  • Local event marketing companies may secure the respective retailer's gift certificates to be used to purchase product.

  • Local event marketing companies sometime request event personnel to pay for product and then they are reimbursed after the event.

  • Some retailers allow a "credit form" to be completed at the store and then deducted at the time of invoicing.

*There will be times when "free product" will be shipped either directly to the demonstrator or to the store location, and purchasing the product will not be necessary.

Procedure for Purchasing Sampling Product:

Depending on the directions of your local event marketing company, you may be required to purchase product prior to beginning of your event, during the event, as needed, or at the end of the event

Closing down your demonstration site.

  • Clean up thoroughly

  • Empty all garbage in the proper place.

  • Walk the store to pick up any trash left behind from the event.

  • Return coupons or destroy coupons, per instructions of the agency

  • Get a grocery cart and pack up your demo equipment.

  • If requested have store management verify your cart and personal belongings as you exit the store.

  • Per agency instructions, call in your report the day of your event, preferably before you leave the store. If you get a busy signal, continue calling until the report is made successfully. In many cases, a confirmation number must be recorded on the report form.

Reporting Methods:

Manufacturers require post event results that include sales, number of consumers sampled, amount of product used in sampling, and other information about weather, prices, and competing products. There are several methods of returning this information to your local demonstration companies.

  • Call your agency. Usually, you are requested to be making your call-out call from the store after completion of the event, leaving the message with an office person or a message machine. This call should be completed within a couple of hours of completing the demonstration. This information is the vehicle marketing companies use to provide sales results to their clients.

  • Mail the required demonstration report with the store stamp and managers signature to your agency.

  • Some agencies have invested in Electronic Data Collection -IVR (Interactive Voice Response) devices that require event personnel to find the nearest telephone to call in results using a toll free number.

  • Scannable forms are use by some companies to record inventory/sales/distribution results.

  • Some larger event marketing firms utilize on line reporting directly to their website.

  • Always keep copies of your paperwork and receipts for two months, or until after you have received payment for the demonstration. Your copy may be the replacement for a "lost" original.

  • Read and follow your agency instructions carefully so that you are paid for your event.

Never give or leave coupons with store personnel.
